Job Summary:
FF1 Apparatus LLC is a premier emergency vehicle sales and service companyheadquartered in Northern New Jersey. We are seeking an experienced and detail-oriented Service Writer to join our team. The ideal candidate will manage serviceworkflow, coordinate scheduling, and serve as the primary point of contact for customer communications.

Primary Responsibilities:

  • Respond promptly to customer requests for service and repairs, clearlycommunicating concerns to technicians.

  • Serve as the main point of contact for customers regarding repair status, parts availability, and timelines.

  • Schedule all service work, including confirming customer appointments, coordinating apparatus movement, and managing technician schedules.

  • Prepare and provide accurate repair and preventative maintenance estimates, ensuring all parts, labor, freight/shipping costs, and third-party sublet charges are included.

  • Obtain customer approval and secure appropriate payment methods prior to work being performed.

  • Maintain accurate and up-to-date customer and service records.

  • Prepare and finalize complete work order documentation for the accounting department, ensuring technician notes are clear, accurate, and all materials used are properly documented.

  • Perform basic administrative duties such as filing, copying, and recording maintenance.

  • Perform additional duties as assigned.

Skills & Qualifications:

Experience

  • Minimum of 1 year of experience working with heavy trucks; experience with emergency vehicles or other heavy-duty vehicles preferred.

  • Customer service or service writer experience is a plus, but not required.

Technical Knowledge

  • Basic understanding of heavy-truck diesel engines, pumps, aerial systems, electrical systems, and hydraulic systems.

Tools & Technology

  • Proficiency with Microsoft Office applications and cloud-based software.

  • Strong general computer literacy.

Communication & Organization

  • Excellent written and verbal communication skills.

  • Positive, confident, and professional demeanor with the ability to build strongrelationships with new and existing customers.

Work Environment & Abilities

  • Ability to work independently and as part of a team.

  • Strong multitasking skills with the ability to manage a high volume of work in a fast-paced environment.

Additional Requirements

  • Ability to work flexible hours, including occasional weekends or after-hours as needed.

  • Highly detail-oriented, organized, and self-motivated, with the ability to take initiative.
